Dean's Aides Application Form

Background Information

At the Salem Academy of Sorcery, we value order and proper conduct in our students. The faculty and staff of the Academy are expected to watch for offenses and correct unfitting behavior in students in all five years. However, it has become clear throughout the many years of our existence that some students are determined to break the rules and regulations that keep the school running smoothly, but are able to evade detection from the faculty, who is busy with the classes and other administrative work.

Thus, following the ideas of Hogwarts School of Witchcraft and Wizardry, a variation of the "prefect" was created. It is the job of the Dean's Aide to help enforce the rules for the students in their house, serve as an example in proper behavior, and to help the other students, especially those of the younger years, during times when faculty are not available to provide guidance and assistance. Mirroring the idea of Head Boys and Head Girls, the position of Senior Aide was also established, which is aimed towards helping the Dean's Aides and serving as a direct link between the student body and the administration.

However, unlike at Hogwarts, the administration felt that it should not be the staff that is choosing the students, as that is a show of blatant favoritism. Instead, it was decided that the interested students would submit an application, and that the student body would vote on the approved candidates.

Any student from the 3rd year and the 4th year can apply to be a Dean's Aide. Six applicants for every house for every grade are chosen (3 girls and 3 boys) based on their academic records, their behavior, and their involvement in school affairs. These students will be selected by a committee of faculty members, based on the information provided in their applications and the testimonies of the teachers who have had them previously in classes. These selected students become the nominees, and the students within their house and their grade vote, so that two students per year per grade are selected, one boy and one girl.

In other words, the committee chooses 3 boys and 3 girls from Meriwether 3rd years, 3 boys and 3 girls from Burkenshire 3rd years, 3 boys and 3 girls from Eberhardt 3rd years, and 3 boys and 3 girls from Remington 5rd years. The same is true of the 4th years. There are a total of 12 female nominees and 12 male nominees per grade. Voting takes place only within a house and a grade, however. This means that only the 3rd year Remington students vote on the 6 3rd year, Remington nominees, selecting one of the 3 male nominees and one of the 3 female nominees, for example.

In 5th year, however, the process is different, as there are no Dean's Aides from 5th year. In 5th year, there are only Senior Aides, one from each house, for a total of four. Those students who were Dean's Aides as 4th years are eligible to be Senior Aides as 5th years, and do not need to fill out applications.

Dean's Aides and Senior Aides are selected at the end of the school year for the following school year, so the 2nd years selected as the future 3rd year Dean's Aides, and the 3rd years selected as the future 4th year Dean's Aides will choose FOUR of the two 4th year (future 5th year) Dean's Aides to be the future Senior Aides, one from each house. The student body does not vote on the Senior Aides. However, similar to the selection of Dean's Aides, the Senior Aides are only chosen by people of their own house. From the two outgoing 4th year Dean's Aides, one is chosen by the incoming 3rd year and 4th year Dean's Aides to be the 5th year Senior Aide.

And yes, reading this and struggling to decipher the regulations is part of the process.
